Advanced uses put AI to work for you

Once you know the basics, AI can rely on your documents, plug into your tools, act on your behalf and run on its own. Here is how to climb the steps, one at a time.

The 5 levels of autonomy

Each level gives the AI more power… and calls for a little more care.

  1. Level 1

    Expert conversation

    Ask better to get better.

    Turn on thinking mode for complex problems, structure your requests, give the AI a role and ask it to critique its own work or to ask you questions before answering.

    Tools

    • Thinking mode Claude and Gemini reason before answering
    • Structured prompt context, goal, format, example
    • Critique “Review your answer and list its weaknesses”
    Build a prompt with PromptLogic
  2. Level 2

    Rely on your sources

    Fewer hallucinations, more relevance.

    Give the AI your own documents as reference, or let it run a real investigation on the web before handing you a sourced report.

    Tools

    • Claude Projects your documents and instructions, always at hand
    • NotebookLM summaries, quizzes and podcasts from your files
    • Deep research sourced reports in minutes
  3. Level 3

    Connect your tools

    The AI fetches information where it lives.

    With connectors, the AI reads your emails, calendars and files to answer questions like “What did I promise client Smith last week?”.

    Tools

    • Claude connectors Gmail, Google Drive, Calendar and dozens more
    • Gemini in Workspace right inside Gmail, Docs, Sheets and Meet
    • MCP the open standard to plug in any tool
    Discover Google Workspace
  4. Level 4

    Let the AI act

    You set the goal, the agent handles the steps.

    An agent plans, uses tools, checks and retries until the result is reached: building a complete file, filling in an online form, fixing and testing a program.

    Tools

    • Claude Code the reference coding agent
    • Claude in Chrome browses and acts on websites
    • Gemini CLI Google’s command-line agent
  5. Level 5

    Automate

    AI works even when you are away.

    With the API, AI becomes a building block of your automations: sorting emails every morning, summarising form responses, enriching a Sheets table. Without code, Workspace Studio does it too.

    Tools

    • Gemini and Claude APIs call the AI from a program
    • Apps Script automate Gmail, Sheets and Drive
    • Workspace Studio Google’s no-code AI automation
    Get started with Apps Script
Level 5

Example: the Gemini API in Google Sheets

A few lines of Apps Script are enough to add AI to your spreadsheets. Paste this code into Extensions › Apps Script, save your API key in the script properties, then call the function from your automations.

Code.gs
/**
 * Summarises a text in 3 points with the Gemini API.
 * The API key is stored in script properties (never in the code).
 */
function summariseWithGemini(text) {
  const key = PropertiesService.getScriptProperties().getProperty('GEMINI_API_KEY');
  const url = 'https://generativelanguage.googleapis.com/v1beta/models/gemini-flash-latest:generateContent';

  const response = UrlFetchApp.fetch(url, {
    method: 'post',
    contentType: 'application/json',
    headers: { 'x-goog-api-key': key },
    payload: JSON.stringify({
      contents: [{ parts: [{ text: 'Summarise in 3 points:\n' + text }] }]
    }),
    muteHttpExceptions: true
  });

  const data = JSON.parse(response.getContentText());
  return data.candidates?.[0]?.content?.parts?.[0]?.text ?? 'No answer';
}

Six real use cases to inspire you

Level 2

Weekly monitoring

A deep research run every Monday on your industry, delivered as a sourced report.

Level 5

Inbox triage

A script sorts incoming emails by priority and prepares draft replies.

Level 1

Spreadsheet analysis

Attach an accounting export: the AI spots anomalies and produces the charts.

Level 3

Meetings without note-taking

Gemini in Meet writes the minutes and the action list for you.

Level 3

Plan your week

“Read my calendar and unread emails, and tell me what needs my attention.”

Level 4

A custom app

Describe the tool you dream of: the AI builds it, tests it and explains it to you.

Essential safeguards

The more autonomous the AI, the more these rules matter.

Stay in control

Approve actions that commit you: sending an email, paying, deleting, publishing.

Grant minimal access

Only connect the tools you need, with limited permissions.

Protect data

Personal and confidential data only on business plans that comply with data protection law.

Beware of booby-trapped text

A web page or email can hide instructions (“prompt injection”).

Watch costs

The API is billed per use: set caps and avoid endless loops.

Check and log

Review results and keep a record of what the AI did.

Frequently asked questions

What is the difference between an assistant and an agent?

An assistant answers your questions one at a time. An agent receives a goal and chains the steps itself: searching, using tools, checking, fixing, until the result is reached.

Do I need a paid plan for these uses?

Not always. Some connectors and NotebookLM are free. Agents, deep research and high limits usually require a subscription. The API is billed per use.

Is it risky to connect AI to my email?

The risk can be managed: use a business plan, only grant the access needed, keep human approval for any action that commits you, and be wary of content from strangers.

What is MCP, in practice?

An open standard for plugging an AI into a tool (a database, a CRM, business software) in a uniform way. An MCP connector written once works with Claude, Gemini and other compatible assistants.

Where should I start?

Pick a repetitive task that takes you at least an hour a week, test it at level 1 or 2, then move up a level once the result is reliable. A small win beats an abandoned big project.
